Executive Assistant, Scheduling & Research

POSITION SUMMARY

Support scheduling and research departments with general admin and profession-specific duties, such as secondary research, data base entry, and program planning and tracking. 

RESPONSIBILITIES
  • Provides day to day support for Scheduling and Research teams with assignment of new projects as needed
  • Manages travel, expenses, and department budgets
  • Coordinates calendars, plans meetings, and sets up all tech needs for meetings
  • Covers phones for SVP of Scheduling and VP of Research (+ Freelance Head of Qualitative Research as needed)
  • Supports the department and other executives as needed, serving as a liaison to other departments regarding Scheduling and Research information
  • Reviews OWN listings information across providers on a weekly basis, ensuring accuracy. Acts as primary liaison with listings publications and contacts them as needed for updates
  • Screens acquisition submissions and provides reviews/summaries as needed
  • Tracks competitive landscape, prepping key departmental reports
  • Provides episodic usage reports for acquisitions and original programming as necessary
  • Tracks and reports on programming inventory
  • Compiles weekly reports covering original premiere plans
  • Assists Director with linear scheduling using Broadview software and available during off hours for emergency schedule changes
  • Learns Nielsen systems enabling them to deliver simple metrics when needed
  • Coordinates and disseminates competitive ratings info; Reality and Scripted trackers
  • Coordinates and disseminates weekly competitive grids
  • Learns STAR platform to perform backup duties on overnights when analyst is out
  • Creates and/or updates powerpoint decks when necessary (Both departments)

QUALIFICATIONS
 
  • Bachelor’s degree or an equivalent combination of skills, training and experience required
  • Proficiency in MS Office suite (Word, Excel and PowerPoint)
  • Exceptional PowerPoint skills a PLUS
  • Strong awareness of competitive content landscape
  • Strong written and verbal communication skills
  • Great attention to detail
  • Must be able to calmly prioritize, perform and lead in a fast-paced creative environment
  • Strong interpersonal and multi-tasking skills are essential
